Getting started

I forgot my password — how do I get back in?

On the sign-in page, click Forgot password? and enter your email address. If it matches an account, you'll get a reset link by email — this is fully self-serve, so you don't need to wait on anyone. For security, the reset link is single-use and expires after an hour. If you request several resets in a short window, you may be asked to wait before requesting another. Using the link signs you out of any other active sessions, so you'll need to sign back in afterward.

How do I create an account?

Accounts are created by invitation only — you can't self-register from the sign-in page. An owner or administrator sends you an invite link tied to your email and role, and following it takes you straight to a short registration form to set your name and password.

What's the difference between the roles?

Housekeeper sees only the rooms scheduled for service that are assigned to them, or unassigned. Front Desk and Supervisor see the full grid, can assign work to any room, and can revert any completed room. Administrator additionally has access to the Admin Panel — rooms, staff, settings and reports. An Owner is an administrator with a couple of extra abilities, mainly around granting other administrators access and managing multiple properties.

Can I change my email address or name?

Yes — from your account menu, open My account to update your name, email, or password.

Room grid & daily workflow

What do the different room colours mean?

Each card's colour reflects its current status: Grey (faded) — nothing scheduled yet today. Blue — assigned for a clean. Light blue — assigned for a fix (a quick touch-up rather than a full clean). Slate grey — guest declined service. Black — Do Not Disturb. Green — done; check the status label on the card for the specific outcome (cleaned, or flagged dirty/damaged).

Can I undo a room that was marked done by mistake?

Yes. Open the room and use the revert option. Housekeepers can revert a room they completed themselves, as long as it's still the same day. Front Desk and Supervisors can revert any room marked done that day — not just their own — which covers the common case of a housekeeper forgetting to update their own app before finishing a shift.

How far ahead can I schedule cleans?

Up to 7 days ahead. Tap the date at the top of the grid to open a date picker — this is useful for pre-scheduling cleans and fixes ahead of known arrivals so they're ready to go the moment that day starts.

Can I look back at a previous day's grid?

Yes, there's no limit on how far back you can look — use the same date picker at the top of the grid. Administrators also have a Reports tab in the Admin Panel for a day-by-day summary view.

What's the difference between "Clean" and "Fix"?

Clean is a full room service. Fix is a lighter touch-up — for example a same-stay guest who just needs fresh towels or a quick tidy rather than a full turnover clean. Front Desk assigns whichever applies when they set up the room for the day.

Does the grid update automatically, or do I need to refresh?

It updates on its own — the grid checks for changes automatically every 30 seconds, so if a teammate updates a room, you'll see it without needing to reload the page. It also refreshes immediately if you switch back to the tab after being away.

Staff & invites

How do I invite a new staff member?

From the Admin Panel's Staff tab, click Invite staff, enter their email, and pick a role. A one-time link is generated (valid 7 days) with a Copy link button — send it to them however's easiest. They follow the link to set their own password and are in immediately.

I closed the invite window before copying the link — is it lost?

No. Every pending invite sits in the Pending invites list on the Staff tab, each with its own Copy link button, so you can retrieve it any time before it's used or expires.

Can I cancel an invite I've already sent?

Yes — find it in the Pending invites list and use Revoke. Once revoked, the link stops working even if the person still has it.

How do I change someone's role, or deactivate them?

From the Staff tab, click on the staff member to open their settings — role and active status can both be changed there. Deactivating someone keeps their history intact but removes their ability to sign in.

Is there a limit to how many staff I can add?

Each property has a maximum staff count. If you're at your limit, the Staff tab will let you know — contact us if you need that raised for your property.

Can front desk staff see the Admin Panel?

No — the Admin Panel (Rooms, Staff, Settings, Reports tabs) is only available to Administrators and Owners. Front Desk and Housekeeper accounts only see the room grid and their own account settings.

Property settings

Why does my timezone setting matter?

Your property's timezone determines which calendar date a room's activity gets recorded under. If it's set incorrectly, rooms can appear on the wrong day — for example showing up under yesterday's grid instead of today's, or vice versa, near midnight. You'll find it on the Settings tab, with the current UTC offset shown next to each option and a live current-time preview so you can confirm you've picked the right one before saving.

Can I change the timezone after setup?

Yes, but change it at the start of a day rather than partway through — switching mid-day can shift which day's activity that day's records land under.

What does "room grid direction" do?

It's purely a display preference for how room cards lay out on the grid — either filling row by row, or column by column. It doesn't change any data, just the reading order.

Where do I change the property name?

Settings tab, in the Admin Panel. It updates everywhere the property name appears, including staff-facing screens.

Multiple properties

I manage more than one property — how do I switch between them?

If you have access to more than one property, a Switch Property option appears in your account menu. This is available to any role with access to more than one property, not just owners — so staff who split time between locations get it too.

Can the same staff member work at more than one of my properties?

Yes. From the Staff tab, open a staff member's Properties button (shown once you have more than one property) to grant or revoke access to each property individually, with a role set per property. Each property still counts them against its own staff limit.

Can I own multiple properties under one login?

Yes — if you're being set up on a second property, we'll use the same email address so it's added to your existing account rather than creating a separate one.

Notes, photos & flags

What's the difference between a "note" and a "desk note"?

A regular note is a general comment on a room, visible to whoever opens it. A desk note is specifically for front desk to leave instructions for housekeeping — it shows as a banner at the top of the room's detail view and adds a small icon on the grid card, so it's hard to miss.

How do I add a photo to a room?

Open the room and use the photo option — it opens your device's camera directly rather than your photo library, so it's a quick in-the-moment capture, useful for documenting damage before you leave the room.

What do the checkout / priority / late checkout flags mean?

These are quick indicators Front Desk can set on a room before it's serviced: Checked out (guest has left), Priority clean (needs attention ahead of other rooms), and Late checkout (guest has a later checkout time). They help housekeeping prioritise their list and disappear once the room is marked done, replaced by its completion status.

Timeclock (add-on)

How do I get the Timeclock add-on enabled for my property?

Timeclock isn't part of every Yado property by default — it's an add-on. Contact us through the contact form and we'll get it turned on. Nothing about your existing rooms, staff, or settings changes when it's enabled; it's purely additive.

We turned Timeclock on — why can't any of my staff see it yet?

Enabling the add-on for your property doesn't switch it on for anyone automatically. From the Admin Panel's Staff tab, a Timeclock column appears once the add-on is on — tick the box for each staff member who needs it. It's off by default for everyone, even after the property itself has the add-on.

How do staff clock in and out?

Anyone with Timeclock enabled gets a Timeclock entry in their account menu, plus a small status badge on their main grid screen — both link to a page with a single press-and-hold button. Holding it (rather than a quick tap) starts or ends their shift; this is deliberate, so an accidental tap can't start or stop a shift by mistake.

What happens if someone forgets to clock out?

A shift still open after 12 hours is flagged on the Timeclock Review page for a supervisor to look at — this doesn't penalise a genuine long or double shift, it's just a nudge to check. If it's still open after 24 hours, the system force-closes it automatically and marks it as auto-closed, so it can't sit open indefinitely.

Can I fix an incorrect clock-in or clock-out?

Yes — from the Timeclock Review page, supervisors and above can edit any punch, or add one that was missed entirely (for a forgotten clock-in someone reports verbally). Every change is logged with the old value, new value, who made it, and when.

I created a punch by mistake — can I remove it?

Yes, from the same review page — this is a soft delete, so the entry disappears from reviews, exports, and the staff member's own hours, but the record itself isn't destroyed, and the deletion is logged the same as any other change.

How does time rounding work?

It's entirely optional and configured per property from the Settings tab — round to the nearest 5, 10 or 15 minutes, or leave it off. Rounding only affects what's displayed and totalled; the exact punched time is always kept on file underneath.

Can staff see other people's hours?

No — staff only ever see their own hours, on their own Timeclock page. Viewing everyone's hours is limited to Supervisors and above, via the Timeclock Review page.

Does Timeclock work for staff at more than one of my properties?

Yes. A punch is recorded against whichever property it happened at, but hours stay unified across all of a staff member's properties on their own Timeclock page. Since the add-on can be enabled on some of your properties and not others, you switch Timeclock on per property for a multi-property staff member from their Properties button on the Staff tab.

Troubleshooting

The grid layout looks off on my phone or tablet

Try rotating your device or reloading the page. If a specific browser consistently shows misaligned cards, let us know via the contact form with the device and browser you're using.

I can't sign in even though I know my password is right

Double check you're using the email address the invite was sent to — accounts are tied to that address. If it's definitely correct, use Forgot password? to reset it rather than guessing further; repeated failed attempts can temporarily lock the reset flow for security.

My invite link says it's expired or already used

Invite links are single-use and expire after 7 days. Ask whoever invited you (your property's owner or an administrator) to send a fresh one from the Staff tab.

A room I completed isn't showing as done for someone else

The grid syncs automatically about every 30 seconds, so there can be a brief delay. If it's been longer than that, try switching away from the tab and back, which triggers an immediate refresh — or reload the page.
