Front Desk quick start guide
Your main screen in Yado is the room grid — a live board of every room's status for the day. Here's how to read it and use it.
On this page
1. Reading the room grid
Each room appears as a card, colour-coded by its current status:
- Grey (faded) — no service set for today; nothing to do yet.
- Blue — assigned for a clean.
- Light blue — assigned for a fix (a touch-up rather than a full clean).
- Slate grey — the guest declined service today.
- Black — Do Not Disturb.
- Green — done. This covers all completed outcomes (cleaned, or flagged dirty/damaged on the way out) — check the card's status label for which one.
At the top of the grid, running counters show how many cleans and fixes are still outstanding for the day, so you can see progress at a glance without counting cards.
2. Assigning a clean or fix
For any room that hasn't been set yet (the grey, faded cards), two buttons appear directly on the card: Clean and Fix. Tap the one you need — no need to open the room first. This is deliberately quick, since it's usually done in a rush at checkout time.
3. Opening a room
Tap anywhere else on a room card (not the Clean/Fix buttons) to open its detail view. From here you can:
- See who it's assigned to, or reassign it to a specific housekeeper.
- Mark it done and record the outcome.
- Add or read notes.
- View any photos attached to the room.
4. Flags, notes and desk notes
A few small icons can appear on a room card before it's marked done:
- Checked out — the guest has checked out.
- Priority clean — needs attention before other rooms.
- Late checkout — guest has a later checkout time than usual.
You can set these from the room's detail view. They're mainly there to help housekeeping prioritise their list — once a room is marked done, these flags are replaced by the completion status instead.
You can also leave a desk note on a room — a short message for whoever services it (e.g. "guest asked for extra towels"). This shows as a banner at the top of the room's detail view until it's cleared, and a small note icon appears next to the service label on the grid so it's visible without opening the card.
5. Reverting a completed room
Marked a room done by mistake, or the guest came back? Open the room and use the revert option. As Front Desk, you can revert any room marked done today, not just ones you completed yourself — this covers the common case of a housekeeper forgetting to mark their own phone/app before heading home.
6. Working with other dates
The date shown at the top of the grid defaults to today. Tap it to open a date picker — you can look back at any past date to review what happened, or forward up to 7 days to pre-schedule cleans and fixes ahead of arrivals. Rooms scheduled for a future date will simply be waiting, ready to go, when that day arrives.
If you have access to more than one property, a Switch Property option appears in your account menu so you can move between them without signing out.
